Because you don’t have to fill in every field for each volunteer’s record (in any table in the database) if you don’t have a phone number or don’t know how many hours someone can work, it’s okay to leave those fields blank until you’ve obtained that information. With these three tables in place, any type of volunteer or useful contact (past, current, or potential) can be entered into the database, and only the table(s) that apply to that person need be populated with data. When a potential volunteer becomes a current one, relevant data can be entered into the appropriate table(s).

For current and past volunteers, the people running the organization want to store information about the volunteering that was done, how much time they spent, what they did, and for whom. For potential volunteers, they want to keep track of when and how they’ve contacted them, whether with mailings and phone calls or at meetings. Imagine keeping all of that in a single table — with everything from the volunteer’s name to what causes they support to where they live and how much time they can donate.

The need to create custom reports is a major reason to use Access; you can find out about all these reporting options in Chapters 17 through 19. That’s right: This chapter plus three more — that’s four whole chapters — are devoted to reporting. It must be a big feature in Access! What’s New in Access 2010?
